Services

EU and National Project Administration

We administer projects financed with EU and national funds from the signing of the funding agreement to the final settlement. The service is for companies and organisations that do not have their own project administrator or want to reduce the risk of errors. We prepare activity reports and payment requests, supervise procurement and publicity, and communicate with the implementing institution so that costs are recognised as eligible and the support is paid out on time.

Who this is for

Companies implementing EU-funded projects
The public sector
Organisations without in-house project administration resources
Organisations that need to take over the administration of a project that has already started

What we do and what you get

  • Preparing and submitting activity reports and payment requests, including checking the documents that support the costs
  • Preparing interim and final reports
  • Coordinating procurement documents and monitoring compliance
  • Initiating and agreeing amendments to the project contract
  • Communicating with implementing institutions, including preparing for on-the-spot checks
  • Monitoring compliance with publicity requirements

Result: an implementation calendar with the deadlines for activity reports, payment requests, other reports and procurement, documents submitted on time and a well-organised set of project documents that will be needed for inspections and project completion.

How the process works

01

We take over the project documentation and draw up an implementation calendar

02

We coordinate procurement and the delivery of activities

03

We prepare payment requests and reports

04

We ensure a smooth project completion and final settlement

What to keep in mind

  • Procurement. Even a private company that has received support usually has to buy according to the rules set in the project contract. If the procurement procedure is breached, the costs may be declared ineligible.
  • Agree changes in advance. Another supplier, price, deadline or indicator can only be changed after agreement with the institution, so it is worth informing the administrator about such decisions straight away.
  • Indicators and continuity. The results achieved must be maintained after the end of the project for the period set in the contract.
  • Record keeping. Project documents must be kept and presented during inspections for a long time after the project is completed.

Examples of our experience

IT sector, project value EUR 1.6 million, 2020–2022: we carried out project administration and prepared 10 payment requests and the final report. The project was successfully completed in 2022.

IT sector, project value EUR 625 thousand, 2024–2026: we carried out project administration and prepared 11 payment requests and the final report. The project was successfully completed in 2026.

What affects duration and price

The price depends on the duration of the project, the number of payment requests and reports, the volume and complexity of procurement, the number of partners and whether we take over the project midway through implementation (in which case we first carry out an audit of the situation). We provide exact terms after reviewing the project contract.
